Call Forwarding Your Phone

Conferencing Feature

All calls into Carleton University’s main number are routed to our Speech Enabled Auto-Attendant. Callers simply need to speak the full name of the person or department they would like to reach and they will be connected.

Call someone off-campus from on-campus telephones

  • Dial 9+ 10-digit local number or
  • Dial 9+ long distance number

Call someone on-campus from on-campus telephones

  • Dial the 4-digit extension if you know it or
  • Dial 1234 and say the name of the person or department and the speech attendant will connect you

What is Speech Enabled Auto-Attendant?

Carleton University is equipped with a state of the art speech automated attendant system by Nuance which uses their industry leading speech recognition engine. This technology is used across many industries and can even be found in products like Apple’s SIRI.

Tips for using the Speech Enabled Auto-Attendant

  • Speak normally, at a regular pace. Exaggerating your pronunciation may hinder voice recognition.
  • Feel free to ‘barge-in’ and interrupt the system at any time.
  • Say the first name followed by the last name. Do not use first or last names only.
  • You can also ask for a department or for a service offered by a department.
  • Use the handset rather than speakerphone. The system will better recognize your prompt.
  • Avoid side conversations or talking with food in your mouth while addressing the system.
  • Reduce interfering noise, such as radio in the background.
  • Listen to the system prompts and follow them, after 2 failed attempts your call will be transferred to the operator during normal business hours.

Confirming your name recording and telephone number

Your name should already be recorded in the system’s directory. Carleton uses Nuance’s premium support which records all names and prompts professionally in a recording studio. To verify the proper pronunciation and ensure that the system transfers you to the correct number dial 1234 and say your own name (first name last name). The system will then announce your name upon transfer (“Transferring you to first name last name“). You will then be transferred directly or asked to confirm your request.

If you notice that the pronunciation of your first or last name is not what you would like, please contact the ITS Service Desk to request an update be made to your name in the system and indicate the proper pronunciation of your name. Voice Services will then submit a request to have the name re-recorded professionally, this typically takes 10-15 business days for the recording to be changed.

Call Forwarding Your Phone

To activate call forwarding for your phone

  • Lift handset and dial *8 followed by the number to which you want your calls forwarded to. This number can be another Carleton extension or a local external number, you will get a pulsating busy tone to confirm it
  • Hang up and test that your call forwarding is working

To deactivate call forwarding for your phone

  • Lift handset and dial *8 and hang up
  • Test that your call forwarding has been removed

Conferencing Feature

Make a Conference Call With Multiple Parties on a regular analog lineYou can connect up to 8 separate parties at the same time.

  1. Dial the first party
  2. Announce that you are setting up a conference call
  3. Press flash or trans/conf or link
  4. Dial the second party
  5. Press flash or trans/conf or link
  6. Press *4 or press conference button
  7. Press flash
  8. Dial third party
  9. Press flash
  10. Press *4
  11. Follow the last 3 steps until all parties have been connected
  12. If the line is busy or not answered press flash to get dial tone again and dial the next party

Make a Conference Call with Multiple Parties on a VoIP phoneYou can connect up to 8 separate parties

  1. Dial the first party
  2. Announce that you are setting up a conference call
  3. Press trans/conf button (button on the right of your red hold button)
  4. Dial the second party
  5. Press trans/conf button
  6. follow these steps until all parties have been connected
  7. If the line is busy or not answered press the disconnect button (the button on the right of the blue/grey button with an X)
