Midterm exams pilot

Spring 2024

At a special meeting on December 13, 2023, Senate approved a pilot for a centrally scheduled midterm examination period. The pilot consists of two days of midterm examinations: Friday, February 9, and Saturday, February 10, 2024.

The pilot includes eight courses from the faculties of Science and Social Sciences. Our goal is to provide students with a controlled environment, fewer distractions and more time to write, as well as helping instructors with scheduling and management of large-scale midterm exams.

The exam timeslots allow for writing periods of up to three hours. However, instructors may choose to have shorter exams with shorter writing periods. Your instructor will inform you of the actual length of your midterm exam.

UVic's policy regarding conflicts and hardships in final exams will also apply to midterm exams in the pilot.

  • Exam conflicts: you have two midterm exams scheduled at the same time.
  • Exam hardships: you have three or more midterm exams scheduled within a 24-hour period. If you have an exam hardship, you can choose to take your exams as scheduled or request alternate arrangements.

If you have multiple midterm exams in the pilot that cause conflicts or hardships, speak with your instructors for guidance.

Instructors participating in the midterm exam pilot will make alternate arrangements for any students who need to miss exams due to conflicts with scheduled classes.

If you choose to attend the midterm exam and miss your scheduled class, you're responsible for any missed coursework and/or lecture content.

If your accommodated exams in the past have been scheduled and invigilated by the Centre for Accessible Learning (CAL), you'll continue to write exams in the CAL exam centre.

If your accommodated exams in the past have been scheduled and invigilated by the Office of the Registrar and Enrolment Management (OREM), you'll write your centrally scheduled midterm exams together with your classmates in the main exam locations.

  • To support an inclusive and distraction-reduced environment, cardboard carrels on desks and ear plugs will be provided.
  • Any materials allowed as part of your academic accommodation will be permitted.

If you're newly registered with CAL or your accommodation has changed, contact your CAL advisor for guidance.

Scheduling notes

The exam schedule only includes courses that are scheduled by the Office of the Registrar and Enrolment Management during the midterm exam pilot project (February 9-10).

  • Instructors are responsible for informing students of any changes made after the exam schedule has been posted.
  • It is the instructor's responsibility to provide students with details on the exam format.

Speak to your instructor if you have any questions about your exam.

Face-to-face exams

  • Before the exam begins, you will be required to show your UVic ONECard to confirm your identity.

  • You may only use materials and equipment (e.g. calculators, translators) that are authorized in advance by the instructor in charge of the course.
  • You can bring food and drink to consume during the exam, but containers must have had all labels removed prior to entering the exam environment.
  • Your mobile phone and other devices must be turned off and left with your personal belongings at the location instructed.
  • All materials, equipment and containers are subject to inspection.

  • During an exam, all students must leave their personal belongings in a designated location in the exam environment. This location is monitored, but theft is still a possibility.
  • To reduce the risk of theft, we recommend that you not bring items of value with you unless absolutely necessary.
  • The university is not responsible for the loss or theft of any personal belongings while on campus.
